Privacy Statement

Introduction

We take your privacy seriously. We do everything we can to protect personal data in accordance with the principles included in the General Data Protection Regulation (“GDPR”) and the GDPR Implementation Act.

In this statement we describe the measures we have taken to protect the personal data of website visitors and business relations that we process.

GL events World Forum Convention Center BV (“World Forum”), located at Churchillplein 10, 2517 JW The Hague and registered in the trade register of the Chamber of Commerce under number 27356153, is the controller for the processing of your personal data. What personal data do we collect and for what purpose?

A – Sources of personal data

We may obtain personal data from the following sources:

  1. Directly from yourself;
  2. Through your employer or through the organisation for which you act, which with your consent passes on your personal data to us in the context of products and services offered by World Forum; and/or
  3. The device or browser you use.

  1. Name;
  2. Email address;
  3. Company;
  4. Address;
  5. Phone number;
  6. Cookie data;
  7. IP address.
C – Why do we collect your personal data and on what legal basis?

Permission: if you allow us to use your personal data for information or marketing purposes or in the context of the organisation of events.

Legitimate interest: for issuing quotations and entering into agreements with you or with your employer or the organisation for which you act, maintaining the relationship with you and informing you about products, services and events that may be of interest to you, security, website management including monitoring the surfing behaviour of visitors to our website and the functioning of our website.

If we send you marketing information by email, we will first obtain your consent where required by law.

With whom do we share your personal data?

We share personal data with other companies of the GL events group and with reliable business partners. We do not sell your personal data to third parties.

Service providers

We may share information about you with organizations that provide services for us, provided they treat this information as confidential and comply with the provisions of the GDPR and other privacy legislation. We may share your information with the following types of service providers:

  1. Technical service providers who provide us with support for our website and IT infrastructure;
  2. Service providers and suppliers who help us organize events;
  3. Our advertising and publicity agencies and the organisations appointed by us to assist us in carrying out marketing campaigns on our behalf;
  4. Advisors such as lawyers, accountants, tax consultants, auditors and insurers; and/or
  5. Service providers who assist us in the effective and secure storage, collection and organisation of information, both in electronic and hard copy form, and for marketing purposes.

Transfer of personal data outside the European Union (EU)/European Economic Area (EEA)

If and to the extent that we transfer your personal data outside the EU/EEA, we will take the following precautions:

  1. Transfer takes place to a country outside the EU/EEA for which an adequacy decision by the EU Commission exists;
  2. Transfers are subject to a contractual arrangement that takes into account the requirements of the GDPR regarding transfers to countries outside the EU/EEA;
  3. Transfer takes place to an organization that applies binding corporate rules approved by an EU supervisory authority; or
  4. Transfer takes place to an organization in the US that is on the EU-US Privacy Shield list.

Your rights

Under the GDPR you have certain rights with regard to the processing of your personal data, including:

  • Access to your personal data (also called a “data subject access request”). You will then receive a copy of the personal data we hold about you and check that we process it lawfully.
    Correction, modification or updating of your personal data. You can have incomplete or incorrect data corrected.
  • Data portability. To the extent applicable in the context of our business relationship, you can request us to transfer the personal data you have provided to us in a machine-readable format to another data controller.
  • Erasure of your personal data: you can ask us to delete or remove personal data where we no longer have a good reason for processing it. You also have the right to ask us to delete or remove personal data where you have exercised your right to object to processing (see below).
  • Restriction of processing of your personal data. You can ask us to restrict the processing of your personal data (for example, if you want us to verify the accuracy of that data or the reason for processing it).
  • Withdrawal of your consent. You may withdraw your consent to processing at any time if your personal data is processed on the basis of your consent. We point out that withdrawing your consent may affect our ability to fulfil contractual obligations towards you and the provision of products and services, insofar as this requires the processing of your personal data.
  • In the event of transfer of personal data outside the EU/EEA, information about the safeguards referred to in paragraph 4 that we have taken.

These rights are not absolute and are subject to certain conditions as included in applicable laws and regulations.

In addition to the aforementioned rights, you have the right at any time to file a complaint regarding our processing of your personal data with the competent authority, in the Netherlands the Dutch Data Protection Authority.

Storage period

We will retain and process your personal data only for as long as necessary for the purpose for which it was collected in connection with your relationship with us, unless we have a legal right or obligation to retain the data for a longer period or the data is necessary for the establishment, exercise or defence of legal claims.

Modifications

We may make changes to this statement from time to time to reflect changes in the law or changes in how we operate. Those changes will become effective on the effective date set out in this statement.
